Mark a Document Confidential

In our 25R2 release (August 1, 2025), we added a new Confidential? field to all document types and asked you to start preparing for an upcoming security feature by marking your confidential documents.

The new security feature has been implemented and now the Confidential? field controls visibility of documents.

If Confidential? is answered Yes, Vault Admins, Quality Admins, and Document Control Users can see the document. Other users can see confidential documents only when assigned a task or manually added as a Viewer.

If Confidential? is answered No, users will be able to see the document in its steady state.

Warning Failing to mark your confidential documents prior to the 25R3 release (December 5, 2025) could result in confidential documents being exposed to all users, even if you had previously removed them manually from the sharing settings.

To mark a document confidential:

  1. Navigate to Document Workspace > Working Library and open a document.

  2. Click Edit ().

  3. Set the Confidential? field to Yes.

  4. Click Save.
